Dashboard Setup Guide

Complete this guide to configure your Servegalo account before embedding the widget. Most businesses finish in under 15 minutes.

Business Profile

The business profile powers the widget header, confirmation messages, and SEO for your booking page. Navigate to Settings → Business Profile in your dashboard.

Services

Services are the treatments or appointments clients can book. Navigate to Services in your dashboard sidebar to add and manage them.

Adding a service

Click + New Service

From the Services page, click the button in the top-right corner.

Set the service name and description

The name appears in the booking widget's service list. The description is shown below the name to help clients choose. Keep names short (2–5 words) and descriptions benefit-focused.

Set duration and price

Duration is how long the appointment runs in minutes — used to calculate availability slots. Price is displayed in the widget and used to calculate the deposit amount.

Set a buffer time (recommended)

Buffer time is added after every appointment of this type before the next slot is offered. Use this to account for cleanup, turnover, or documentation. Typical values: 10–15 minutes.

Configure deposit (optional)

Set a deposit amount in dollars or as a percentage of the service price. Deposits are collected via Stripe at the time of booking. Requires a connected Stripe account — see the Payments section.

Assign staff members

Select which staff members can perform this service. Only assigned staff will appear for this service in the booking widget's provider selection step.

Set status to Active and save

Only Active services appear in the booking widget. You can set a service to Inactive to temporarily hide it without deleting it.

Service ordering

Services appear in the booking widget in the order they are listed on the Services page. Drag and drop to reorder them — put your most popular services first.

Staff

Each staff member has their own profile, service assignments, and availability schedule. Navigate to Staff in your dashboard sidebar.

Adding a staff member

Click + New Staff Member

From the Staff page, click the button in the top-right corner.

Fill in name, title, and bio

The name and title appear in the provider selection step of the booking widget. A short bio (1–2 sentences) helps clients build trust before booking.

Upload a profile photo (optional but recommended)

A professional headshot significantly increases booking conversion. JPEG or PNG, minimum 400×400px, square crop recommended.

Assign services

Select which services this staff member performs. This controls what appears in the widget — a staff member will only appear for services they are assigned to.

Invite to dashboard (optional)

Enter an email address to invite this staff member to log in to the dashboard. They will have a restricted role — they can view their own bookings and update their availability, but cannot modify business settings.

Availability

Availability is configured per staff member and controls which time slots appear in the booking widget. Slots are generated automatically based on service duration and buffer time.

Navigate to Staff → [Staff Member] → Availability.

Setting weekly schedules

  1. Toggle each day of the week on or off.
  2. For each active day, set the start time and end time. This is the window during which the widget will offer bookings.
  3. Optionally add a break period (e.g., 12:00 PM – 1:00 PM for lunch) — no slots will be offered during this window.
  4. Click Save Schedule.

Set your timezone first

Availability times are stored in your business timezone. If you change your timezone after setting availability, you will need to review and reconfirm all schedules.

Blocking time off

To block specific dates (holidays, vacation, staff events), use Time Off under the staff member's availability settings. Add a date range with an optional label — no bookings will be offered during this period.

Lead time and booking window

Under Settings → Booking Rules, configure two global options:

  • Minimum lead time — how far in advance clients must book (e.g., 2 hours). Prevents last-minute bookings for services that need preparation.
  • Booking window — how far into the future clients can book (e.g., 60 days). Prevents clients from booking slots so far out that schedules haven't been confirmed.

Stripe & Payments

Servegalo uses Stripe Connect to process deposits and payments directly into your bank account. Navigate to Settings → Payments.

Connecting your Stripe account

Click Connect with Stripe

You will be redirected to Stripe's onboarding flow. If you don't have a Stripe account, you can create one for free during this step.

Complete Stripe's identity verification

Stripe requires basic business information and a bank account to process payouts. This typically takes 2–5 minutes. You will need your EIN or SSN and bank routing/account numbers.

Return to Servegalo

After completing Stripe onboarding, you'll be redirected back to your dashboard. The Payments page will show a green Connected status.

Enable test mode for testing (optional)

Toggle Test Mode on the Payments page to process test transactions without charging real cards. Use Stripe's test card 4242 4242 4242 4242 (any future date, any CVC). Turn off test mode before going live.

Setting default deposit rules

You can set a global deposit default or configure it per service:

  • Fixed amount — e.g., $50 deposit on every booking regardless of service price.
  • Percentage — e.g., 25% of service price collected at booking.
  • Full payment — full service price collected at booking (treat as pre-payment).
  • No deposit — widget completes booking without any payment step.

Stripe fees

Stripe charges 2.9% + $0.30 per transaction. Servegalo does not charge an additional fee on payments. Deposits are transferred to your Stripe account immediately upon booking.

Twilio SMS

Twilio powers all outbound SMS from Servegalo: confirmations, reminders, missed-call text-backs, and no-show recovery messages. Navigate to Settings → Integrations → Twilio.

Setting up your Twilio account

Create a Twilio account at twilio.com

Twilio offers a free trial with ~$15 in credits — enough to test everything. You will need to upgrade to a paid account before going live.

Purchase a phone number

In the Twilio Console, go to Phone Numbers → Manage → Buy a Number. Search for a local number in your area code. Ensure the number has SMS capabilities. Numbers typically cost $1–2/month.

Find your Account SID and Auth Token

From your Twilio Console dashboard, copy the Account SID and Auth Token shown in the top section. Keep these secret.

Enter credentials in Servegalo

In Settings → Integrations → Twilio, paste your Account SID, Auth Token, and the phone number you purchased (in E.164 format: +14045550172).

Configure call forwarding for missed-call text-back

For the missed-call feature to work, your business phone number must forward unanswered calls to your Twilio number. In your phone carrier's settings or voicemail setup, configure No Answer forwarding to your Twilio number. Servegalo detects incoming calls to your Twilio number and fires the automated SMS if the call is not answered within 20 seconds.

Twilio free trial limitations

On Twilio's free trial, outbound SMS can only be sent to numbers you have verified. To send to any number, upgrade to a paid Twilio account before going live.

Automations

Automations are the core revenue-recovery engine in Servegalo. Each automation is a triggered message that fires based on a specific event. Navigate to Automations in your dashboard sidebar.

Booking confirmation

Trigger: Immediately when a booking is confirmed through the widget.

  • Sent automatically via SMS (and email if configured) to the client with appointment details.
  • Customize the message template under Automations → Confirmation.
  • Available variables: {{client_name}}{{service_name}}{{provider_name}}{{appointment_date}}{{appointment_time}}{{business_name}}{{business_address}}

Appointment reminders

Trigger: A set amount of time before an upcoming appointment.

  • Configure up to 3 reminder messages per booking (e.g., 48h, 24h, and 2h before).
  • Each reminder can have its own message template and timing.
  • The default setup sends reminders at 24 hours and 2 hours before — this combination typically reduces no-shows by 35–40%.

Missed-call text-back

Trigger: An incoming call to your Twilio number that rings for more than 20 seconds without being answered.

  • Response delay is configurable — default is immediately (under 60 seconds).
  • The SMS includes your business name and a direct link to the booking widget.
  • Customize the message under Automations → Missed-Call Text-Back.
  • Requires call forwarding to your Twilio number to be configured. See Twilio setup →

No-show recovery

Trigger: An appointment whose status has not been updated to "Arrived" or "Completed" within 30 minutes of the scheduled start time.

  • The delay is configurable — default is 30 minutes after the scheduled appointment time.
  • The message includes a direct rebooking link so the client can reschedule in one tap.
  • Customize under Automations → No-Show Recovery.
  • This automation fires only once per booking. It will not repeat if the client does not respond.

Rebooking prompt

Trigger: A set number of days after a completed appointment with no future booking on record.

  • Default delay is 30 days after the completed appointment — configurable per service.
  • Useful for services with a natural rebooking cadence (e.g., Botox every 12 weeks, haircut every 6 weeks).
  • Per-service rebooking intervals can be set under each service's settings.

Going live checklist

Before you share the widget with real clients, go through this checklist:

Business profile is complete (name, address, phone, timezone)
At least one service is Active with duration and price set
At least one staff member has availability set for this week
Stripe account connected and test mode disabled
Twilio connected with a live (non-trial) account and real phone number
Call forwarding configured to your Twilio number for missed-call text-back
Widget script added to your website and tested with a real booking
Confirmation SMS received at the email/phone used for the test booking
Automations reviewed and message templates personalized with your business name and tone

You're ready to go live
